Transport Master Data

Overview

Master data is the foundation of the Transport module. All master data must be created before creating transactions. This document describes all master data required for the Transport module.

Required Master Data

1. Vehicle Type

Purpose: Defines types of vehicles used in transport operations.

Key Fields: - Vehicle Type Name: Name of vehicle type (e.g., Truck, Van, Trailer) - Description: Description of vehicle type - Load Types: Load types this vehicle can carry - Container Support: Whether vehicle can carry containers

Usage: - Required in Transport Order, Transport Job, Transport Leg, and Run Sheet - Used for vehicle assignment and capacity planning

Creation: 1. Navigate to Vehicle Type 2. Enter Vehicle Type Name 3. Enter Description 4. Select applicable Load Types 5. Configure container support if applicable 6. Save

2. Load Type

Purpose: Defines types of cargo being transported.

Key Fields: - Load Type Name: Name of load type (e.g., Road, Rail, Bulk) - Description: Description of load type - Transport: Check if applicable to transport module - Sea: Check if applicable to sea freight - Air: Check if applicable to air freight

Usage: - Required in Transport Order and Transport Job - Used for vehicle type filtering - Used for capacity planning

Creation: 1. Navigate to Load Type 2. Enter Load Type Name 3. Enter Description 4. Check applicable modules (Transport, Sea, Air) 5. Save

Note: Load Types with transport = 1 are available in Transport module.

3. Container Type

Purpose: Defines types of containers (required only if transporting containers).

Key Fields: - Container Type Code: Code for container type - Description: Description of container type - Size: Container size - Weight Capacity: Maximum weight capacity - Volume Capacity: Maximum volume capacity

Usage: - Required when Transport Job Type is "Container" - Used in Transport Order and Transport Job - Used for vehicle capacity planning

Creation: 1. Navigate to Container Type 2. Enter Container Type Code 3. Enter Description 4. Enter Size and capacity details 5. Save

4. Transport Vehicle

Purpose: Master data for actual vehicles in the fleet.

Key Fields: - Code: Unique vehicle code - Vehicle Name: Name of vehicle - Company Owned: Whether vehicle is company owned - Make: Vehicle manufacturer - Model: Vehicle model - Vehicle Type: Link to Vehicle Type - Transport Company: Link to Transport Company - Capacity: Weight, volume, and pallet capacity - Container Support: Whether vehicle can carry containers - Reefer: Whether vehicle has refrigeration - Base Facility: Base location of vehicle - Avg Speed: Average speed for routing - Cost Per KM: Operating cost per kilometer - Cost Per Hour: Operating cost per hour - Service Zones: Zones where vehicle operates - Telematics Provider: Link to telematics provider - Telematics External ID: External ID for tracking

Usage: - Required in Run Sheet - Used for vehicle assignment - Used for capacity planning - Used for cost calculation

Creation: 1. Navigate to Transport Vehicle 2. Enter Code and Vehicle Name 3. Select Vehicle Type 4. Select Transport Company 5. Enter capacity details 6. Configure telematics if applicable 7. Save

5. Driver

Purpose: Master data for drivers.

Key Fields: - Driver Name: Name of driver - Employee: Link to Employee (if applicable) - License Number: Driver's license number - License Expiry: License expiry date - Contact: Contact information - Transport Company: Link to Transport Company (if applicable)

Usage: - Required in Run Sheet - Used for driver assignment - Used for communication

Creation: 1. Navigate to Driver 2. Enter Driver Name 3. Link to Employee if applicable 4. Enter license details 5. Enter contact information 6. Save

6. Transport Company

Purpose: Master data for transport companies (own or third-party).

Key Fields: - Naming Series: Naming series for company - Full Name: Full name of transport company - Supplier: Link to Supplier (if third-party) - Customer: Link to Customer (if customer)

Usage: - Required in Run Sheet - Used for vehicle assignment - Used for cost allocation

Creation: 1. Navigate to Transport Company 2. Enter Full Name 3. Link to Supplier or Customer if applicable 4. Save

7. Pick and Drop Mode

Purpose: Defines modes for pickup and delivery operations.

Key Fields: - Mode Name: Name of mode (e.g., Door-to-Door, Port-to-Port) - Description: Description of mode - Allow in Pick: Whether mode can be used for pickup - Allow in Drop: Whether mode can be used for delivery

Usage: - Used in Transport Order Legs, Transport Job Legs, and Transport Legs - Used for pickup and delivery mode selection

Creation: 1. Navigate to Pick and Drop Mode 2. Enter Mode Name 3. Enter Description 4. Check "Allow in Pick" if applicable 5. Check "Allow in Drop" if applicable 6. Save

8. Transport Template

Purpose: Predefined leg plans for common routes.

Key Fields: - Code: Unique template code - Description: Template description - Legs: Child table defining leg plan - Sequence order - Facility Type From/To - Pick/Drop modes - Notes

Usage: - Used in Transport Order and Transport Job - Auto-populates leg plan - Saves time in order creation

Creation: 1. Navigate to Transport Template 2. Enter Code and Description 3. Add legs to template 4. Define facility types and modes 5. Save

Master Data Setup Order

Recommended order for creating master data:

  1. Vehicle Type - Required for vehicles
  2. Load Type - Required for orders
  3. Container Type - Required if transporting containers
  4. Transport Company - Required for vehicles
  5. Transport Vehicle - Required for run sheets
  6. Driver - Required for run sheets
  7. Pick and Drop Mode - Required for legs
  8. Transport Template - Optional but recommended

Best Practices

  1. Standardize Naming: Use consistent naming conventions
  2. Complete Information: Fill all required fields
  3. Regular Updates: Keep master data updated
  4. Documentation: Document any special configurations
  5. Validation: Validate master data before use
  6. Templates: Create templates for common routes
  7. Capacity Planning: Set accurate capacity in vehicles
  8. Telematics: Configure telematics for all vehicles

Notes

  • Master data cannot be deleted if used in transactions
  • Master data can be amended if needed
  • Some master data is shared with other modules (Load Type, Container Type)
  • Vehicle capacity should be accurate for proper planning
  • Telematics configuration enables real-time tracking
