Run Sheet

Overview

Run Sheet is the daily operational document for drivers. It contains all Transport Legs assigned to a specific vehicle and driver for a single day, providing a complete route plan with optimized sequence.

Key Fields

Basic Information

  • Run Date: Date of the run
  • Run Type: Regular, Backload, Spot, Reposition, Others
  • Status: Draft, Dispatched, In-Progress, Hold, Completed, Cancelled
  • Route Name: Name of the route

Location

  • Base Location Type: Type of base location
  • Base Location: Starting location for the run

Vehicle and Driver

  • Vehicle Type: Type of vehicle
  • Vehicle: Assigned vehicle (required)
  • Transport Company: Company operating the vehicle (required)
  • Driver: Assigned driver
  • Driver Name: Driver's full name (auto-filled)

Transport Legs

  • Legs: Child table with all Transport Legs assigned to this run sheet
    • Leg reference
    • Pickup location
    • Delivery location
    • Order/sequence
    • Status

Consolidation

  • Transport Consolidation: Link to consolidation if applicable

Completion Tracking

  • Estimated Completion Time: Estimated time to complete all legs
  • Actual Completion Time: Actual time when run sheet completed
  • Route Optimization Score: Score indicating route efficiency

Route Map

  • Route Map: Visual map showing all legs in the run sheet

Status Flow

  1. Draft: Run sheet created but not dispatched
  2. Dispatched: Run sheet sent to driver
  3. In-Progress: Driver has started the run
  4. Hold: Run sheet temporarily on hold
  5. Completed: All legs completed
  6. Cancelled: Run sheet cancelled

Workflow

  1. Create Run Sheet

    • Create new Run Sheet
    • Set run date
    • Select vehicle type
  2. Assign Vehicle and Driver

    • Select vehicle
    • Select driver
    • Select transport company
  3. Add Transport Legs

    • Add legs to run sheet
    • Legs can be added manually
    • Or assigned from Transport Legs
  4. Optimize Route

    • System optimizes leg order
    • Review route optimization score
    • Adjust order if needed
  5. Review Route Map

    • View visual route map
    • Verify route makes sense
    • Check for any issues
  6. Dispatch Run Sheet

    • Submit and dispatch to driver
    • Status changes to "Dispatched"
    • Driver can access via portal
  7. Track Execution

    • Monitor leg completion
    • Update status as legs complete
    • Track actual completion time
  8. Complete Run Sheet

    • All legs completed
    • Update status to "Completed"
    • Record actual completion time

Route Optimization

The system automatically optimizes the order of legs:

  • Optimization Score: Indicates how well the route is optimized
  • Distance Minimization: Minimizes total distance
  • Time Efficiency: Optimizes for time
  • Sequence Order: Legs ordered for efficient execution

Visual representation of the run sheet:

  • Shows all pickup and delivery locations
  • Displays route between locations
  • Interactive map for detailed view
  • Can be exported or printed
  • Transport Leg: Child table documents
  • Transport Consolidation: Optional grouping
  • Transport Vehicle: Vehicle document
  • Driver: Driver document
  • Transport Company: Company document
  • Run Sheet Leg: Child table
